Job Summary:

The Warehouse Officer will be responsible for overseeing the receipt, storage, issuance and inventory management of raw materials, packaging components and finished pharmaceutical products in compliance with current Good Manufacturing Practices (cGMP) and Good Distribution Practices (GDP). The role includes monitoring material movement, ensuring traceability, managing environmental storage conditions and maintaining accurate documentation in both manual and electronic inventory systems. The Warehouse Officer will also ensure segregation of quarantined, approved and rejected materials, enforce proper housekeeping and support regulatory and internal audits. The ideal candidate must demonstrate strong knowledge of pharmaceutical warehouse operations, ERP systems, stock reconciliation and regulatory compliance.

Key Duties and Responsibilities:

  1. Supervise receipt, inspection and documentation of incoming raw materials, packaging materials and finished goods.
  2. Ensure proper classification, labeling and storage of materials in designated warehouse zones under required environmental conditions.
  3. Oversee issuance of materials to production according to approved material requisition forms and FIFO/FEFO principles.
  4. Maintain real-time inventory records in warehouse management systems or manual logs and support regular stock counts.
  5. Monitor expiry dates, stock rotation and re-order levels to ensure material availability and minimize wastage.
  6. Ensure proper segregation and handling of quarantined, rejected and expired materials.
  7. Maintain documentation in compliance with GMP/GDP including bin cards, material movement logs and reconciliation records.
  8. Support preparation and dispatch of finished products to customers or distribution centers in line with regulatory requirements.
  9. Coordinate with QA, production and procurement teams to ensure smooth warehouse operations and batch traceability.
  10. Enforce safety, cleanliness and pest control measures within the warehouse premises.

Academic Qualifications:
Bachelor’s degree or Higher Diploma in Logistics, Supply Chain Management, Pharmacy or a related field from a recognized institution.

Experience and Competencies:

  1. Minimum of 3–5 years of experience in warehouse or supply chain operations, preferably in a pharmaceutical or GMP-regulated environment.
  2. Proficiency in inventory systems, warehouse documentation and material traceability.
  3. Good knowledge of GMP, GDP and warehouse safety practices.
  4. Ability to coordinate warehouse staff and prioritize workload effectively.
  5. Familiarity with ERP systems or computerized warehouse management tools is an added advantage.
  6. Strong attention to detail, organization and communication skills.
